Case studies

Software and hardware selection

Regularly ICTAS is being invited to perform a system selection. The ICTAS approach is to hold intake sessions with the stakeholders at the clients office during which the ins and outs, envisioned benefits, time frame and allocated budget for the new system are being discussed.

The ICTAS consultant then develops a short list and an extensive checklist of requirements. This checklist is then discussed and enhanced in usually two sessions with the client. The client also gives indications of the importance of the items on the checklist, i.e. checklist items are weighted. This checklist then is sent to the suppliers on the short list. After the results are received they are collected in a comparison matrix. If needed and if the budget allows it the checklist is followed up by visits to the suppliers. The final scoring is then discussed with the clients. Preferably a site visit to the number 1 and number 2 suppliers on the list is proposed. The suppliers are then asked to workout a relevant-to-the-client business case. The selection process is concluded with a report in which in a one page management summary the ranking, the motivation and the pro's and con's are described.

Its clear that by taking over this selection, you can concentrate on your main business.

 

Interim IT-management

ICTAS was asked by the Island Government of Curaçao to do the interim management of an ICT department that had to be set up for the Department of Economic Affairs.

The existing situation was that no ICT -plan or structures was available, hardware was obsolete (IBM S36) while the millenium change at the doorstep and office automation was still in its early stages. With only one system administrator available other ICT tasks could not be done or were taken over by end-users.

The main emphasis of this assignment was to design a structure for an ICT department and to select a "counter partner" to jointly implement organizational as well as ICT related changes. At the same time ongoing business like system maintenance, network implementation as well as personal management, had to be taken care of within a very tight financial budget.

During this interim assignment the a new head of the department was hired and trained and all other positions within the department were filled in as well. The millenium issue was taken care of , office automation including a Local Area Network in place and end users trained for the new programs. At the end of this interim assignment the new head of the department was able to take over a structured department.

 

Project management

For the major real estate company in the Netherlands ICTAS designed and implemented three major business supporting information systems.

The first (base)system was made to give the company up tot date insight in its total portfolio of its assets of 3000 offices with a total value of 10 miljard Euro.

Because of the reliability constrains Oracle was chosen as the back end server. In order to satisfy end user demands Apple pc’s (already in use for office automation) were used as front -end user interfaces.

The size of its operation (housing 110.000 workers) also made it necessary to develop a second system that was able to match the request/ demands of its clients with their portfolio. After an in depth information analysis of the specifications of the clients needs the system was quickly designed and implemented since the base system was already in place. This system was able to graphically report the outcome of its matching process. This was a big asset in the communication with clients on the different options that were presented.

A third system was later added to plan technical maintenance on the buildings as well as all technical equipment inside them. Maintenance planning (100 milion euro per year) is important not only to protect the value of the assets but also to prevent claims caused by failing equipment.

In all projects special attention and effort were made to guide the organizational and personnel consequences of the implementation of these systems.

 

Develop new Internet-based business

ICTAS is involved in the set up of a new e-commerce venture dedicated to financial solutions to other e-merchants. This assignment includes formulating the business model, writing the business plan as well as the technical realization of the concept.

Conduct feasibility study for ISPs

In 1999 and 2000 Ictas was approached to conduct economic feasibility studies for new IP services e.g. Voice-over-IP and SMS over IP. The first step was to briefly research the subjects, develop a checklist and meet with the clients. With the checklist relevant issues were touched and explored. In a very short time frame this resulted in a nearly complete picture of what the client envisioned with the new services. It was then back to the drawing board, where after additional information gathering a draft study was written and presented to the client. Finally the end report including a powerpoint presentation were delivered on time. This efficient approach saved the client consulting fees, and provided him with a ready to execute plan of approach.

 

IT-strategy

In 2000 ICTAS was aked to facilitate ICT strategy development of a big utilities company. The approach ICTAS used was to assist the client to assemble an ICT strategy team and develop a framework and timeline. The client to define a budget used this framework and timeline. After which a kick-off took place with the sponsoring member of the board of directors.

The new ICT strategy was formulated within 2 months. Short weekly sessions were held in which every time a brief recap was given of the previous session and a new topic of the initially developed framework was explored. This exploration also consisted of visiting relevant trends and new ICT -related developments in the industry. With a minimum of consulting fees a directly executable plan was made. It also resulted in extensive knowledge transfer of the consultant to the client's team members.

 

Development of IT course material

ICTAS provides also ICT training sessions/courses i.e."Managing Information Technology", "Developing an ICT strategy" and "Setup internal systems management".

ICTAS business training courses are well known for its direct use and are custom built. Consultants of ICTAS first familiarized with the subject and then visited the clients to assess there needs and expectations. The end result - what do the trainees need to know at the end of the course - were explored and defined sharply. After that a skeleton course outline together with a fee estimate were worked out and presented to the clients. For every course we look for an experienced and dedicated trainer that fits with the company. The end results for the clients were dedicated to their core business ICT training sessions, a higher approval rate of the trainees and ready to use ideas and skills from their employees

 

Setup and manage call centers

ICTAS assisted to set up two new call centers on Curaçao. This was a joint venture assignment between the foreign partner bringing in the expertise of the business and ICTAS being in charge of the set up of the organization as well as the technical infrastructure. The call center was based on Nortel equipment. Once operational ICTAS was in charge of the management information system that was implemented "on top" of the Nortel switch.

After 2 years of successful operation, a new business system was selected and installed that taped all telephone conversations on the central hard disks instead of tape. This to the benefit of clients as well as supervisors since recordings could be played back with a simple mouse click instead of the time consuming tape retrieval and loading.

As a "spin off " of the establishment of these foreign companies ICTAS was asked to do the project management of the set up of the company itself. As such ICTAS was responsible for the renovation of the building, design and implementation of the network and office automation, back end servers, operations, HR management and all legal issues such as business licenses and working permits.
